To ensure that your appointment is progressed efficiently it is critical to understand how casual appointments at the University are onboarded from start (off system), to finish (onboarded in Workday).
Casual Appointments Request Process Flow:
All casual requests follow the same process steps. For further information about a particular point in the workflow, select the corresponding step-by-step link below:
1. Preparing the Appointment
Prior to submitting a Casual Appointment request in Workday, we recommend that the Hiring Manager consider the following questions.
Questions to think about:
- Have I supervised staff at UQ before? If not, do I have a Supervisory Organisational Unit (Sup Org Unit) linked to my Workday Profile?
- Do I have an active chart-string in Workday? If not, is my local Finance Advisory team aware of this for budgeting purposes?
- Is a casual appointment suitable in this instance? Should it be a Fixed-Term appointment instead?
If you are unable to answer the above, your dedicated HR Advisory team will work closely with you to evaluate and assess your hiring needs prior to raising a Casual Appointment Request in Workday.
Your HR Advisory team will be able to offer expert advice to ensure that new positions are well-designed and comply with legislative and enterprise agreement requirements, considering factors such as span of control, scope of responsibility, and role clarity.
It is recommended that salary details are confirmed with the candidate before raising a request to reduce any potential delays during the approval process.
The AskHR team are best placed to assist you with submitting a Casual Appointment request in Workday for relevant approvals, as per HR Sub-delegations.
