UQSafe is the sytem used to manage actions and tasks to remedy HSW issues. 

Actions/Tasks can come form of multiple sources within UQSafe R3, including Audits, Incident, Hazards, Inspections, and Checklists.

 

Who does this process apply to?

Supervisors: At UQ it is expected that Supervisors are tracking the completion of tasks/actions allocated to the personel they supervise.

Safety Team: As an additional layer of assurance, safety teams are expected to ensure tasks/actions are being completed by their groups.

Where can I see my team's/group's tasks

Team/Group Tasks are located in the top right hand corner of the UQSafe R3 landing page. A dropdown choice will apear when hovering a cursor over the Clipboard Icon.

My Teams Tasks refer to the tasks/actions that have been assigned to direct/indirect reports, thus is only avalible to supervisors.

My Groups Tasks refers to any tasks/actions within an orginisational unit, as set up by the Health Safety and Wellness Division, including any tasks/actions linked to reports you have access to. Please note this will include all tasks/actions from invited records.

What should I do with this information

Supervisors are expected to follow up with their team members when tasks/actions become overdue. These tasks/actions must be updated by the assigned person or supervisor, to reflect the current status of the task.

  • Where the assigned person is no longer responsible for the task/action, the supervisor should reassign the task/action to an approprieate person.  
  • Where a task/action is no longer required the person who assigned the task should be contacted to delete the task/action.
  • If the task/action is no longer required and you are the person who assigned the task, you may delete the task so long as you provide your reasoning within the notes section for the Audit Trail.
  • If the task/action is no longer required and the person who assigned the task is no longer availible please contact your local WHSC to assist.
  • Where the task/action is completed or underway, follow up with the assigned person to update the status and provide details within the notes.

Safety Teams should follow up with assigned persons and/or supervisors when tasks excede 1 month overdue.

  • Where the assigned person is no longer within the group, prompt the supervisor to re-assign.
  • Where a task/action is no longer required the person who assigned the task should be contacted to delete the task/action.
  • Where the task/action is completed or underway, follow up with the assigned person to update the status and provide details within the notes.
