Research Sample Management System (RSMS)
RSMS is UQ's internal platform for recording, tracking and managing research samples in a consistent and traceable way. It captures sample details, storage locations, movements, audit history and regulatory metadata — giving research groups a single, compliant record of their samples across the full research lifecycle.
This training hub provides role-based Quick Reference Guides (QRGs) to help you complete common tasks, understand your responsibilities and know when to escalate. Content covers the UQ-specific operating layer: what the system can do, who does what, what must be approved, and what you can self-manage.
How to use this hub
Start with the All Users tab, then complete the tab(s) that matches your role. If you hold multiple roles, work through all relevant tabs. For example, senior lab members may be both "Researchers" and "Group Admins".
- All Users - Login, navigation, key concepts, roles and permissions and support pathways.
- Researchers (End-users) - Core sample workflows: create, store, find, update, import, clone, dispose and audit samples.
- Group Admins - Group setup, go-live preparation, user management, data migration, data quality and exception handling.
- Organisation Admins - Organisation-level storage, access management, group onboarding and escalation.
Each QRG includes step-by-step instructions, practical exercises (where applicable), common issues and escalation points.

Access to RSMS requires a licence. Before using this training material, confirm that your research group has an active RSMS licence and that you have been added to a Group.
